What Does an AI Agent Do Exactly? A Day in the Work
An agent reads work as it arrives, applies rules you have written down, takes the action, sends the exceptions to a person, and logs everything it did. Then it does that again, without being asked, at 2am if that is when the work arrives.
That is the whole job description. The interesting part is what it looks like across a day.
One real day, in a finance team
The example is an accounts payable role, because it is the easiest to follow.
Time | What happens | Who acts |
|---|---|---|
6:40am | First invoice batch lands in the shared mailbox | Agent |
6:41am | Reads every invoice, extracts vendor, amount, terms | Agent |
6:42am | Matches against the purchase order and the receipt | Agent |
6:42am | Two lines do not match the agreed terms | Agent |
6:43am | Recalculates what the terms allow and drafts a claim | Agent |
7:15am | Finance manager opens the exception queue, 9 items | Person |
7:31am | Manager approves 7, overrides 2 with a note | Person |
7:31am | Notes become rules for the next batch | Agent |
11:00am | Second batch, 140 invoices, 4 exceptions | Agent |
4:00pm | Third batch, and the day's summary is written | Agent |
Overnight | Anything arriving at 11pm was processed by 11:01pm | Agent |
Notice what the person did. Sixteen minutes, on the decisions that needed judgement. Notice what the agent did. Everything else, including the parts nobody used to have time for, like checking the terms on every line rather than sampling.
The five things, stated plainly
It reads. All of the work, not a sample. Full coverage is the whole reason the recovery shows up.
It applies rules. Yours, written down where it can read them. If a rule lives only in someone's head, the agent cannot use it.
It acts. Posts the entry, sends the claim, updates the record. Within limits you set.
It escalates. Anything outside the rules goes to a person with the context attached, not as a mystery.
It records. Every action, every rule applied, every override. That log is what makes the output auditable and what makes the agent improve.
What it does not do
Worth being blunt, because vendor pages are not.
It does not decide policy. You do.
It does not approve its own work on day one. Nor should it.
It does not fix a process nobody has defined. If your team cannot describe the rule, neither can the agent.
It does not replace the judgement calls. It frees the person to spend their day on those instead.
It does not get tired, go on holiday, or need three weeks of onboarding for the next person.
How to tell it is working
Three numbers, and none of them are the agent's fault if they are bad.
Coverage. What share of arriving work did it actually read. Anything under 100 percent means you are still sampling.
Exception rate. How often it needed a person. Falling over time if the rules are improving.
Time in the queue. How long a person spends per cycle. This is the one that becomes recovered hours.
How to decide which roles your AI agents should own is the method for picking where to start.

Frequently asked questions
Does an AI agent replace a person? It replaces the part of a role that is rule driven and repetitive. The person stays, approving exceptions and handling judgement. In practice teams shrink only when the volume of that repetitive work was the whole job.
Does the agent work at night? Yes. Work arriving at 11pm is processed at 11pm. For compliance and finance workflows that arrive overnight, this is usually the first visible change.
How is this different from automation I already have? Traditional automation follows fixed steps and breaks when the input changes shape. An agent reads the document, understands it, and applies rules to messy input.
Does it read every line or sample? It should read every line. If a vendor is sampling, ask what share, because a sample finds the problems rather than recovering the money.
What happens when it makes a mistake? It goes to the exception queue and a person corrects it. The correction should become a rule. A deployment without that loop does not improve.
How long until it is useful? The first useful cycle is usually days, not months, for a well scoped role. The first trustworthy cycle takes longer, because you need to see it handle a month end.
